1. Who we are

KeroIQ LLC ("KeroIQ," "we," "us," "our") operates keroiq.com and the KeroIQ application at app.keroiq.com (the "Service"), business-management software for mobile coffee carts and small food operators. This policy explains what personal information we collect, how we use it, and the choices you have. Questions: hello@keroiq.com.

2. Information we collect

Information you give us. Your name, email address, business name, operating details, and social handle when you request a demo, contact us, or request a proposal. If you or your business uses the Service, your account information (name, email, a password stored only as a secure hash, and role), and the business data you enter, such as menu items, orders, inventory, customers, staff, and financial records.

Information collected automatically. Usage and device data such as IP address, browser type, pages viewed, and interactions, collected through standard server logs and strictly necessary cookies.

Information from providers you connect. If you connect Square, we receive limited transaction and account information needed to process orders and reconcile payments. We do not receive or store full payment-card numbers; those are handled by Square.

3. How we use information

We use personal information to provide, operate, secure, and improve the Service; to respond to your inquiries and set up your demo; to process orders and payments through your connected provider; to provide the AI features you choose to use, such as voice ordering and summaries; to send transactional emails and, where permitted, occasional product updates you can opt out of at any time; and to maintain security, prevent fraud, and comply with law.

We do not sell your personal information.

4. How we share information

We share personal information only with providers that help us run KeroIQ, under agreements that limit how they may use it:

• Square, for payment processing and, if you connect it, catalog and customer sync. Card data is handled by Square, not stored by us.
• Cloudinary, for image hosting such as logos and receipts you upload.
• Deepgram, for voice-to-text transcription used in voice ordering.
• Anthropic (Claude), for AI processing such as summaries, voice parsing, and business questions.
• Resend, for sending email such as contact replies and transactional messages.
• Vercel and DigitalOcean, for website and application hosting.
• Google (Places) and OpenWeather, for location and weather data used in certain features.

We may also disclose information if required by law, to protect our rights or the safety of our users, or in connection with a business transfer such as a merger or acquisition.

5. Your business's and your customers' data

If you use KeroIQ to run your business, some data in the Service is personal information about your own customers or staff, for example a customer name on an order. For that data, you are the controller and we act as your processor, handling it on your behalf under our agreement with you. This website policy covers KeroIQ's own collection of information from site visitors and account holders.

6. Data retention

We keep personal information for as long as needed to provide the Service and for legitimate business or legal purposes, then delete or anonymize it. You can ask us to delete your information as described in Section 8.

7. Cookies

We use strictly necessary cookies, for example to keep you securely signed in. We do not currently use advertising cookies. If we add analytics or other cookies, we will update this policy and, where required, ask for your consent.

8. Your privacy rights

California residents (CCPA/CPRA). You have the right to know what personal information we collect, to request access to or deletion of it, to correct it, and not to be discriminated against for exercising these rights. We do not sell your personal information or share it for cross-context behavioral advertising. To exercise a right, email hello@keroiq.com; we will verify your request and respond as required by law.

Other regions. If you are in a jurisdiction with similar rights, for example the EU or UK, you may have rights to access, correct, delete, or restrict processing of your personal information, and to complain to your regulator. Contact us at hello@keroiq.com.

9. Security

We protect information with measures including encryption in transit (HTTPS/TLS), hashed passwords, access controls, and per-tenant data isolation. No system is perfectly secure, but we work to protect your information and to address issues promptly.

10. Children

KeroIQ is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13.

11. Third-party links

Our site may link to third-party sites, such as our Instagram. We are not responsible for their privacy practices; please review their policies.

12. Changes to this policy

We may update this policy from time to time. We will post the new version here with an updated effective date and, for material changes, take additional steps where required.
